Hamilton County Deed Indexes 1794 - 1869

Hamilton County Recorder's Office (R. O.) Almost all deed books and deed book Indexes and other related records from 1794 to 1988 have been digitized and are now available at R. O. website. Before about 1915, all records and indexes were hand written. H.C.G.S. volunteers have transcribed, extended and enhanced many of the indexes and created typed indexes where none before has existed. Details, descriptions, research aids and links to the R. O. are given here for the benefit of H. C. G. S. members and the public.

 
Deed, Mortgage, Lease, Lien and other Recorder's Office Books 1794 - 1869
Below the instructions for retreiving any type of record book that was created from 1788 up to 1988. Once you have found a book and page of interest here or at the Recorders' website
 
Retrieving Documents from the Recorder's Office ( Abrev: R.O.  As of 7/21/2025 )
The new document management system, Acclaim, from Harris Recording Solutions, requires you to enter a book number and page number of any historical document. Once you have a document type, a book # and a page # you will need to go to the new retrieval system. To use, click here:   https://acclaim-web.hamiltoncountyohio.gov/AcclaimWebLive
 
Find the very large icon labeled  BOOK/PAGE  on the far right. Click on that Icon. On the left are 3 entry boxes:

Enter a book # in the Book entry box, page # in Page entry box and select a book type. Click on Search
Scroll down to see the list of matches highlighted in brown. Click on the brown bar. The actual page image will appear to a window on the right side of the page.
Be aware that many of the deed books were microfilmed as 2 pages per image. Therefore if you have acquired a deed book page from the indexes below or on the Recorder's Website, you will need to divide that by 2 and enter that result in the " Page" box to get close to the book page needed. Then you can page forward or back ( < or >) if necessary an image or two to find the actual book page desired. For the example above page 44 will retrieve actual pages 87 and 88.

Deed Books were indexed (handwritten) in separate index books that list the surname and first name of the Grantor (from=seller) and the Grantee (to=buyer) in the first 2 columns, then the deed book letter or number and the page in the book in the next 2 columns. In columns 5 and 6, a separate "reverse" index, that is, by Grantee (to) and Grantor (from) surnames and first names, then deed book letter or number and the page in the book in the last 2 columns.
The original index books are separated into 26 groups, A-Z, by the first letter of the Grantor surname (or Grantee surname in column 5). The order of the names is by the 1st letter of the surname as occurred in each book. That is, page number order. Therefore, to find a particular Grantor (or Grantee) you must read through all the surnames beginning with the same 1st letter of the surname of interest. Original handwritten partial indexes 1 and 2, for some deed books A to W2 and 21 to 56, can be accessed from this webpage below.  Original indexes were partially transcribed & enhanced by HCGS volunteers. The transcription also includes never indexed deed books A, F1, F2, M1, O, P, R2, S, 25 and 34.
The project took many years. Only page numbers were double checked, Some surname spelling was verified, indicated by a complete date in the date column. Click on the A to Z links just below for full alphabetic index of 25,000+ of buyer (Grantee) surnames.  Use the book(s) and page number(s) found for the surname of interest.  To find the buyer (Grantee -- 3rd surname column on the page) and seller full name in the original index, see the original index pages in the section below. Because spelling varied so much in the 1820s and 1830s, questionable spelling is indicated with a ? after the names. Finding Aid 1844 to 1869 ( deed books 100 through 370 )
Original indexes 4, 5, 6, 7.1, 8, 7.2 have been transcribed and enhanced by HCGS volunteers. These are total alphabetic deed or document indexes by buyers' surname, then by first name ( if available). As the project progressed, many first names have been added and some actual deeds reviewed for spelling errors in the original indexes. Also, in the 1840's, when a non-deed document was recorded, the document type was sometimes indicated, although abbreviated in most cases. Click on a link below for full alphabetic index of over 80,000 buyer (Grantee) surnames and estimated year deed was recorded.  Page numbers have been double checked, but only some surname spelling has been verified. Covers deed books A to W2 and 21 to 56, but also includes handwritten previously un-indexed books A, F1, F2, M1, O, P, R2, S, 25, 34. From original indexes 1 & 2, these were transcribed by HCGS volunteers. All sellers for books A thru W2 and about 37% of sellers in books 21 through 56 (total 17,974) listed in A to Z order, arranged by 1st letter of surname or organization.
